Managing complex PDFs shouldn’t require juggling multiple apps or workflows. With Document Builder, you can combine, split, extract, and completely restructure your documents—all in one intuitive workspace inside Drawboard PDF.

Whether you're preparing a project report, compiling drawing revisions, or breaking apart a large set of plans, Document Builder makes it easy to stay organized and in control. This guide walks you through everything you need to get started, from loading files to exporting a fully restructured PDF.

Getting started with Drawboard PDF’s Document Builder

If this is your first time managing your files with Drawboard PDF, start by setting up your dedicated workspace and making it work for you. If you just need a refresher, skip to the next section.

Here’s how to access, add files to, and customize Document Builder.

Accessing Document Builder

You'll find Document Builder in the top menu of Drawboard PDF—just look for the Document Builder icon in the top-left corner. Click it to open the dedicated workspace where all your PDF management happens. If you're constantly working with multiple documents, you can also pin it to your favorites bar for quicker access by clicking the ‘+’ icon on the toolbar.

While this guide focuses primarily on the Windows version, Document Builder works similarly on iOS and Mac, though you'll notice some interface differences to match each platform's design standards.

Adding documents

Once Document Builder is open, adding files is simple. Either drag and drop PDFs directly into the interface or click the "Add Document" button to browse for files.

A handy feature of Document Builder is the automatic color-coding system—each imported PDF gets its own color, making it easy to identify different documents at a glance.

Don't worry about file size—Drawboard has optimized Document Builder to handle large documents smoothly, even when you're working with detailed technical drawings or extensive reports.

Customization options in Document Builder

Document Builder lets you make your file management workspace your own with customizations. Prefer larger thumbnails to see more detail? Or smaller ones to fit more on screen? Adjust the view settings to match your needs. You can also sort by filename or disable the color-coding if you prefer a cleaner look.

How to manage your pages in Document Builder

Once your workspace is set up and your documents are loaded, you’re ready to start managing your PDFs. This section outlines the key features of Document Builder—what they do, when to use them, and how to work with them effectively.

Selecting files and pages

Before performing any operation—whether it's merging, extracting, or deleting—you should know that Document Builder lets you select exactly what you need with ease.

You can select:

  • Entire files by clicking the document title bar in the left-hand panel.
  • Individual documents using the thumbnail view—just click on a page to highlight it.
    • You can also work with individual files within each document by clicking the ‘<>’ icon on the document’s thumbnail
  • Multiple pages by holding Ctrl (Windows) or Command (Mac) and clicking additional pages, or by dragging a selection box over a group of pages.
  • Ranges of pages by holding Shift and clicking the first and last page in the range, or by choosing “Range Select” from the selection dropdown menu in the top-right of the interface.
  • The inverse of your current selection by selecting the option from the dropdown menu.

Selected pages are visually highlighted, making it easy to confirm your choices before taking action.

Reorganizing documents and pages

Document Builder lets you merge, rearrange, and organize entire files or individual pages with ease. After selecting your files, simply drag them into their new positions to change the order.

Best of all, Document Builder’s visual interface shows you exactly how your final document will look, with file-based color coding to help you stay organized and in order.

Batch deleting pages

Found yourself with unnecessary pages in your document? Document Builder lets you select multiple pages and remove them all at once, saving you time when cleaning up large documents or removing outdated content from reports.

Instead of deleting pages one by one, you can quickly select everything you don't need and clear it out with a single click, keeping your documents focused and relevant.

Inserting blank or template pages

Need to add new content to your PDF? Click "Insert Page" and choose from blank pages, lined paper, grid layouts, or other templates. This feature is perfect when you need consistent formatting throughout your document or when you want to add space for handwritten notes or sketches.

If you have custom templates you use regularly—like company cover pages or standardized forms—you can insert these as well, maintaining a cohesive look throughout your document.

Duplicating pages

When you need the same page multiple times throughout a document, Document Builder's duplication feature comes to the rescue. Select one or more pages, duplicate them, and drag the copies wherever you need them. It’s especially useful for forms that need to be filled out multiple times or for repeating layouts in technical documentation.

The best part? Any annotations you've already added will be duplicated too, saving you from having to recreate the same markups over and over.

Extracting pages

Sometimes you only need specific pages from a larger document, like drawings from a complete set of plans or when sharing relevant sections of a larger document with colleagues.

With Document Builder, you can just highlight the pages you want, click "Extract," and Document Builder creates a separate file with just those pages. Within the preview window that follows, you can confirm you've selected exactly what you need and reorganize them before finalizing.

Building and saving the reorganized document

When you've finished organizing your documents, simply click "Build." Document Builder combines everything according to your arrangement, preserving all annotations, bookmarks, and other elements. Your newly created PDF opens automatically in Drawboard PDF, where you can continue working with all the annotation tools you're familiar with.

The seamless transition between Document Builder and the main interface ensures you never lose work or context while managing complex document sets.

Drawboard’s Document Builder: where your PDFs come together

Document Builder is more than just a utility—it’s a smarter way to manage complex PDFs with clarity and control.

By combining your documents, extracting the pages that matter, and reorganizing content all in one place, Document Builder helps you get the job done faster—without compromising precision. Every feature is designed to support the way professionals actually work: drag-and-drop flexibility, full annotation retention, and a seamless handoff back into the Drawboard PDF environment when you're ready to mark up, review, or share.

Whether you're preparing construction documentation, compiling legal reports, or organizing technical manuals, Drawboard PDF keeps your document workflows in sync—and your team one step ahead.
