Tackling the challenge

After experiencing exponential growth both in terms of their team size and client base, managing tasks and communication was becoming increasingly challenging for the Arches team.

“It became crucial for us to find a solution that could streamline our communication, project management, and collaboration processes.” says Ivana Yaco, Founder and Director of Arches

A solution made-to-measure

For the Arches team, it was important to find a solution for iPad that offered real-time multi-user access and collaboration on shared files, task management features to enable the team to monitor the progress of tasks, as well as version control capabilities to simplify access to the most recent markup, eliminating the need to navigate through numerous PDFs stored on Google Drive.

And crucially, Arches needed a solution that was user-friendly for the team and affordable for staff rollout.

After an online search, Ivana came across Drawboard Projects.

“Drawboard Projects stood out over others I researched due to its great, easy-to-use modern interface and array of smart tools that I was already familiar with from using other markup tools on the market.”

Another feature that attracted Ivana to Projects was the ability to grant temporary guest access to external stakeholders.

“Its feature allowing guest invites for clients was amazing, as it enabled real-time markup collaboration and served as a comprehensive record-keeping system for both us and our clients.”

A Layered approach

After implementing Projects and since the release of the Markup Layers feature, Arches has greatly improved the efficiency of their workflow. Ivana cites that it has “enhanced our collaboration and efficiency”.

Markup Layers enable teams to annotate and collaborate on different layers of the same documents and drawings. They are designed to help teams keep work consolidated while also preventing conflicts that may arise when multiple contributors annotate the same files. Arches uses Markup Layers on drawings and documents to streamline their workflow while maintaining privacy when collaborating with different stakeholders.

The Arches team uses public layers for client feedback, while private layers facilitate internal discussions. The team also creates layers for different markups with dates or for different staff members in order to maintain clarity and avoid clashes.

“Previously, we managed client and internal team collaboration by creating separate projects to maintain privacy. With Markup Layers, we've consolidated our efforts into a single project, enabling seamless collaboration while maintaining privacy for internal discussions.” Ivana says that this consolidation has saved Arches valuable time, allowing for “more efficient project management and enhanced communication with both clients and our internal team.”

As the team was already familiar with using layers in other design software, they found implementation was easy.

Regarding the wider implementation process of Drawboard Projects, Ivana says that it was a “smooth transition” for the team. Following implementation support and a detailed walkthrough of the features from the Drawboard team, the Arches team “quickly adapted to and began using the platform with ease, thanks to its intuitive interface” and the team was “impressed by its comprehensive features” says Ivana.
