Engineers are more collaborative than ever and have access to a vast choice of software and data to optimize and digitize the way work is done. Meaning they also have higher technology requirements than ever before.
Edith Kamberaj

Ingenia is an Australian multi-disciplinary engineering services company specializing in Project Management, Engineering, Design & Drafting, and Risk Management.

Founded in 2009, Ingenia focuses on mechanical engineering, asset management and engineering solutions. Ingenia started as an answer to a decline in ‘in-house’ engineering teams in the manufacturing and processing industries.

The team specializes in mechanical, structural, and civil design services, providing a holistic approach and offering a comprehensive range of solutions to meet any project needs.

Integral to their designs and projects is the incorporation of functionality, performance and maintainability.

Delivering exceptional service, providing timely and effective communication, and working collaboratively with clients to achieve their project objective is the modus apparatus at Ingenia. Making sure there is sufficient lubrication between how a project is run and how satisfied clients and customers are is at the forefront of business processes.

With the rise of cloud software, the internet of things and automation, global businesses can now communicate and solve problems faster, as well as serve a far wider audience. Engineering, thought-out all this, remains a cornerstone of digital transformation. Engineers are more collaborative and have access to a vast amount of software and data to optimize and digitize the way work is done. Meaning they also have higher technology requirements.

The Problem

Due to the nature of the industry, drawing markups, revisions and approvals are all necessary burdens. Bringing as many of these processes into the light and digitizing them can have huge roll down effects for creating better processes.

There’s no doubt that digital transformation is driving efficiency in the workplace. At Drawboard Projects we understand the importance of organizational efficiency and of implementing the right technology to deliver the best work and drive results.

So when Ingenia needed a better solution to check engineering drawings and reduce review time, Drawboard was confident we could deliver.

Ingenia was an early adopter of the paperless office concept, and had effectively managed to reduce the amount of printing required for documentation, but had not managed to remove the need for printed drawings altogether.

This led to complexities for people working from home, and typically meant that a review would take days to complete, as physical copies and electronic PDFs would have to be handed from one person to the next. Not to mention simply needing a better way to meet the ever-changing project demands and timeframes to check engineering drawings and reduce review time.

The Need

Daniel Halls, General Manager and Principal Mechanical Engineer, said “We were looking for a ‘Microsoft Word’ approach to drawing markups, where it was possible that a team of people could review a drawing set in real time without having to wait for the completion of the first user. Ideally, we were looking for a tool that allowed in-context commenting regarding issues, and management of the review process.”

The Solution

Drawboard Projects was created to deliver one live workspace for all project markups, making the design review process faster and more intuitive for skilled teams.Drawboard Projects is the only PDF app that instantly syncs all your markups, communications and assignable issues across all your devices in real time. This allows teams to unlock new levels of collaboration, while using powerful PDF tools.

The features that were the most appealing for Ingenia when selecting Drawboard Projects were:

Real-time markups
Drawboard Projects instantly syncs all markups and communication on every revision, speeding up your process and giving you your coordination time back.

Assign issues to be resolved
Pin issues to specific places on drawings and assign responsibility for closeout to team members.

Version review
The ability to check previous markups against new drawings.

Markup Library
The ability to paste images and custom stamps. Keep the annotations you use regularly at your fingertips, from engineering symbols, to regular notes.

Discuss changes
Keep discussion right on the drawing so that anyone can see full context of decisions that were made. Perfect to bring everyone in the Ingenia team together, regardless of remote work.

Ease of use
From the tools to the canvas, Drawboard Projects was designed to turn beginners into experts.

Cross platform ability
Work on an iPad, Android, Windows and web browser.

The Implementation

Drawboard Projects was initially rolled out to a single project team at Ingenia. with the intent of a simple trial. Once the usefulness of the Software was realized, it was rolled out to the rest of the team.

Implementation was a dual effort, with the Ingenia Account Manager working with a Drawboard Projects Account Manager to onboard and set-up team members. This tends to work best as it allows for a more customizable onboarding process that fits in with existing business and operational processes.

The Verdict

Whenever making a transition from one workflow or process to another there can at times be mixed feedback.

Some users were concerned that without visibility of the whole drawing in paper space detail may be missed, as is common sentiment when transitioning from paper to digital.

This was quickly dismissed once the team implemented a dual screen methodology for reviewing drawings. The drawing was displayed on the computer monitor, and markups were actioned and completed on a separate iPad. This technique also assisted with confirmation of markups, with the ability to show previous markups on one screen and make new markups on the other.

Only Drawboard Projects’ seamless annotation sharing, and instant syncing made this methodology possible.

Once up and running, markups became more enjoyable and less cumbersome. This solved the problem they set out with; it was now possible for the team to review a drawing set in real time, without having to wait for the completion of the first user.

Drawboard Projects also delivered advanced PDF tools for the design review process, which previously relied solely on pen and paper. From intricate measurement tools, to best-in-class pressure-sensitive ink, there is now a whole plethora of PDF tools to choose from when working and completing a review.

The overall and enduring consensus was that tasks managed using Drawboard Projects became more efficient and more enjoyable to complete.

One particular employee stated that they “love it” said Mr Halls.

The result

Drawboard Projects has helped the Ingenia team share work and collaborate more effectively.

As is common for nearly all working teams now, distance and remote work is part-in-parcel of the industry. Software that bridges the gap (literally) is a huge contributor to the efficiency and smooth operation of an engineering team.

“As we have some workers remote from our main office, it means that they could also review drawings and raise issues / comments in real time” says Daniel Halls, General Manager and Principal Mechanical Engineer.

“It has become the go-to method for drawing markups, not only for drawings we create, but from other vendors too”
